Executive Assistant, Scripted Series (Onyx Collective)


 

The Executive Assistant will provide administrative support to the SVP of Scripted Series for ONYX Collective. Responsibilities include calendar management, meeting scheduling, travel & expense reports, event planning, and other administrative support as needed. The position requires a high level of professional etiquette to represent the SVP and interface with senior executives inside and outside the company. The role will require strong communication skills, close attention to detail, excellent organizational skills, and the ability to juggle multiple high-priority requests to meet tight deadlines. It will also require a high level of integrity and discretion in handling confidential information. Seeking poised self-starters who have a strong understanding of the television programming process, can proactively anticipate needs, demonstrate follow-through, and will be a collaborative team player.

Responsibilities:

  • Provide day-to-day administrative support to the SVP, Scripted Series
  • Manage busy calendar and schedule high volume of meetings

    Coordinate in-person/virtual events and business travel, including trip logistics and itinerary, meeting coordination, and remote support of executives who are out of the office
  • Interface with various internal departments and external organizations
  • Manage reports and maintain databases for the department
  • Create PowerPoint and Keynote presentations
  • Support special projects, promotions, events, and programs, as needed
  • Perform other administrative duties including, but not limited to, screening and routing phone calls, processing expense reports, processing purchase orders, distributing mail, filing, faxing, photocopying, scanning/tracking documents, and ordering supplies
  • Participate in an administrative team, providing backup to other assistants and contributing to day-to-day coverage of administrative duties

Basic Qualifications:

  • 1+ years of administrative experience in a high-volume entertainment desk at a studio, network, production company or agency
  • Strong understanding of the television programming process
  • Excellent written, verbal, and interpersonal communication skills
  • Approachable style and ability to professionally interface with high-level executives, clients, employees, and business associates, both internal and external
  • Strong organizational and time management skills
  • Proven experience in multitasking and working with multiple people and priorities while delivering on high-quality results and follow-through
  • Demonstrates curiosity, business acumen, and a desire to understand the ‘big picture’
  • Demonstrates flexibility and professionalism in an environment where change is constant
  • Excellent attention to detail and accuracy
  • Proven ability to handle confidential and sensitive information in a professional manner
  • Self-starter, with the ability to work with limited supervision, exercise good judgment, anticipate issues, and proactively problem solve
  • Collaborative team player who is willing to jump in where needed
  • Proficient in using PCs and Microsoft Office Suite (Word, Excel, PowerPoint, Keynote, and Outlook) and SAP

Preferred Qualifications:

  • Experience supporting senior-level executive(s) in a corporate environment preferred

Required Education:

  • Bachelor’s degree or equivalent combination of work experience

The hiring range for this position in Century City, CA is $51,120 to $70,290 per year based on a 40 hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
