POSITION SUMMARY:


The Student Information System Specialist will serve multiple data coordination functions for the schools. The Student Information System Specialist will provide process and procedure support to site office staff and ensure implementation, training and communication relating to the management of student information. In addition, this role will administer, maintain, and provide support for the student information system (SIS) including registration screen setup, and scheduling parameters in the SIS. The Student Information System Specialist will ensure accuracy of all related data generating funding and reporting; and overseeing the data processing procedures throughout Casa Grande Union High School District in accordance with mandated rules and regulations.


QUALIFICATIONS:

  • High School Diploma
  • Minimum of five (5) years of experience managing a student information system including student data creation, reconciling, and troubleshooting.
  • Working knowledge of State and Federal reporting guidelines relating to student enrollment data.
  • Ability to speak, read and write in Spanish is a plus.
  • Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.


DUTIES AND RESPONSIBILITIES:


Responsibilities and duties may include, but are not limited to, the following:


  • Provide oversight of the student informational system (SIS) database to ensure data reporting is accurate.
  • Assist sites with attendance validation as reported to AzEDS for the purpose of maintaining accurate student information data.
  • Works with site Registrar, Attendance Clerks, and Interventionists to resolve student data reconciliation discrepancies.
  • Assist District Registrar with training office staff at each site on enrollment, withdraw, and attendance procedures and data entry.
  • Consults with site administrators of discrepancies with student data entry and/or reporting issues.
  • Uploads and manages all student information required by Arizona Department of Education (ADE) and resolves issues in a timely manner.
  • Generates, reconciles, and validates data to be submitted to ADE/AzEDS.
  • Collaborates with various departments (ESS, ELL, Grants, CTE, etc) to ensure data is accurately inputted and reporting in accordance with ADE regulations.
  • Review, correct, and verify integrity rports pertaining to district’s information and ADE/AzEDS.
  • Work with IT department on new software releases by both PowerSchool and ADE to ensure accurate data is reported.
  • Prepares and maintains various student data internal reports, state and/or federal reports.
  • Provides technical assistance to school sites with issues concerning the SIS.
  • Responsible for school setup in SIS at the beginning of each school year: setting up the years and terms; bell schedules; attendance conversions; attendance codes; school calendars; and final grade setup in PowerSchool. All of which is crucial to accurate state reporting and daily operation of a school day.
  • Completes End of Year process and New Year rollover.
  • Store grades to historical file after each grading period ends.
  • Collaborates with site administration, counselors, and curriculum department with student master schedule to ensure courses catalog is updated in SIS each school year.
  • Creates new courses submitted by the curriculum department.
  • Setup registration screens in SIS for student course selections.
  • Run scheduling reports as needed and verify course enrollment with student entry date.
  • Provides administration with student data reports such as attendance, enrollment, withdrawals, dropout, etc.
  • Trains staff on building query reports from the SIS upon request.
  • Provides data to state auditors as needed.
  • Additional duties may be assigned as necessary.


KNOWLEDGE, SKILLS AND ABILITIES:


  • Demonstrated knowledge of Student Information Systems; experience with PowerSchool is preferred.
  • Ability to solve problems and communicate effectively with staff, teachers, students, parents, community, and vendors.
  • Proven track record of successful service delivery in the areas of customer service and systems administration.
  • Familiarity with K-12 school district operations.
  • Ability to maintain excellent accuracy in data management and reporting.
  • Demonstrates excellent reading, writing, computation, technical and analytical skills
  • Organized, self- starter who prioritizes work and is dependable.
  • Practices confidentiality and makes informed decisions regarding student information.
  • Ability to follow oral and written instructions with little or no supervision.
  • Ability to plan, organize and maintain a filing system so that documents are systematically stored and readily available.
  • Ability to plan, organize, schedule, carry out and supervise projects.
  • Ability to maintain confidentiality of sensitive information and communicate appropriately.
  • Ability to build good working relationships with colleagues, students and families through professional interaction.
  • Ability to use personal computers and software to develop spreadsheets and databases, and do word processing.
  • Ability to meet established deadlines.
  • Ability to articulate, represent professional demeanor and ability to take initiative.
  • Working knowledge of State and Federal reporting guidelines relating to student enrollment data.

While performing the duties of this job, the employee may occasionally push or lift up to 20 lbs such as boxes, supplies, etc. Specific vision abilities required by this job include close vision such as to read handwritten or typed material, and the ability to adjust focus, close vision, distance vision, color vision, peripheral vision and depth perception.
